Absolute Shambles – Non-existent Support and Terrible Service
I have never dealt with a company so incompetent and dismissive of their customers. Kashflow is currently pushing users to migrate to Staffology, but the transition is a disaster.
I booked a demo to see the new system, and no one even bothered to show up. A complete waste of time.
My account was locked, and it took their support team over a week just to perform a simple password reset. If you rely on this for business-critical payroll, be warned: they will leave you stranded.
Trying to cancel is a nightmare. Instead of helping, support (Kelsey) just closes your tickets and tells you to email a different department (Renewals).
When you email Renewals, you get a generic message as support had closed my ticket that my case has been resolved.
The customer service is abysmal, the technical support is slow, and the professional courtesy is non-existent. Save yourself the headache and go with a provider ( Highly reccomend Quickbooks) that actually values your time and business. Avoid at all costs.

Kashflow has some serious operational issues

IRIS Pay has some serious operational flaws that create unnecessary risk for any business relying on it.

Two issues stand out:

Invoice branding is broken
Even after updating our account to a Limited Company and changing all settings in the dashboard, invoices are still being issued in the original account holder’s name. This isn’t cosmetic—it’s a compliance and credibility issue. Clients see the wrong entity, which undermines trust and creates avoidable confusion.
Direct Debit logic is fundamentally flawed
If you cancel or disable an invoice, you would reasonably expect any associated Direct Debit to stop. It doesn’t.
IRIS Pay continues to collect unless you manually cancel the collection in a separate system.

That means:

You cancel a service
The client still gets charged
You then have to deal with the fallout

Worse, you can’t cancel collections within 3 days of the due date, so even if you catch it late, you’re stuck.

This isn’t a minor UX issue—it’s a structural problem. The system separates invoicing from payment execution without enforcing logical safeguards. The burden is entirely on the user to prevent incorrect billing.

The result?
Unnecessary admin, reputational damage, and frustrated customers asking why they’ve been charged for cancelled services.

For a payments platform, that’s not acceptable.

It's a very user friendly software and the new interface is brilliant. There was a hiccup with unable to edit the invoice template but I was told it was due to security reasons and once we request the support team to enable the template then the team enables it and you're free to use it again!

After 12 years I'm planning my escape

After 12 years I'm planning my escape. What used to be a straightforward, well thought through, well supported product from an independent developer has become a dog's dinner of an application poorly tended to by its corporate overlords.

Kashflow have been rolling out a new user interface for what seems like a lifetime, and have yet to complete it. What they have completed is ill thought through and, it would appear, has not been tested by any body who actually uses the platform for accounting.

It would now seem I no longer have "permission" to edit my own invoice templates! Just the latest in a long line of bugs.

The costs keep going up, the quality of the product keeps going down. Time to move on.

Accountancy software is supposed to make life easier for businesses, not harder!

This started off very well 10 years ago with an easy to use system but the last year or so someone has way over-engineered it and it's now difficult to use. I wanted to change my invoice template as we changed address but it said I didn't have permission to do that. I'm paying £30 a month for permission to change my invoice template.
I can't change my emails to personalise them when sending customer invoices. I had the same issue a while ago but I can't remember what they said it was - something to do with security settings I think. Anyway, I don't have time to keep fixing whatever is going wrong so I'm afraid it's the end of the road and I'm looking elsewhere. Accountancy software is supposed to make life easier for businesses, not harder!

My profit & Loss report is wrong!

My profit & Loss report is wrong! All the nominal codes are correct. My accountant has confirmed I've done everything correctly but the P&L is wrong. If I went by the P&F figures, I wouldnt pay so much tax. Just as well I'm honest. Some supplier invoices are showing they were paid 3 times despite no record of them in my suppliers. It was correct one day and 2 days later it was a nightmare. All my figures for the tax return are wrong because of it...an absolute nightmare! I have been using it since 2014 and liked it but moving on after this. All support say is clear your browser and its the new interface!. Also, it intermittently sends an invoice twice but again, no help from them even if you do manage to make contact!

Do not choose KashFlow

3 times within 12 months there has been an issue with their email system, with invoices not sent to recipients / customers.
It is a huge problem not knowing if your invoice has been received.
This is a primary task and KashFlow fail, regularly.
Support is poor, misses the point and obfuscates with irrelevant nonsense.

Just go with Xero

Ive been using them for years, and it's just got worse over time. Causing me nothing but issues. Ive moved one of my businesses over to Xero. It's far better. I'll be moving the other over asap.

It takes me a lot to be this blunt in a public domain, but honestly, save yourself the hassle. They have no phone support, and my accountant has also warned me off from them.

Been using Kashflow for a number of years and I can honestly say it is atrocious. I have been a bookkeeper for 45 years and this is the worst accounting software I have ever used. I get on far better with Xero.

Avoid Kashflow

Been using Kashflow for nearly 10 years and absolutely loved it, that is until recently. 2 major issues which have disrupted my business and customers purchases which is totally unacceptable! First issue was when I was trying to add the Pay Now link onto my invoice emails to allow a customer to make a purchase. No matter how long I tried following the instructions on Kashflow site it just wouldn't work, turns out Kashflow had disabled settings but failed to notify it's customers. And again today, trying to produce a quote for a customer but I couldn't get logged in, it was advising the password I've used last 5 years is no longer valid. Because of this I couldn't even log into the support site to log a call! They've obviously enabled a password policy, again without informing it's customers. The downside is I've been locked out of my account all day, got access 10 minutes ago. A whole day wasted, and lost customers!

They have stopped users being able to customise invoices that are sent out and now they have cancelled my password so that i can no longer use my accounting system!

Sadly it all seems to be going wrong...

Sadly it all seems to be going wrong. Emails sent with incorrect subject line details, and now unable to modify email body, and really very tardy customer support is causing much annoyance. Response is very slow and contain lots of references to 'internal conversations' regarding adding features. I really would just like the features it had to continue working properly.

Other reviews refer to an insecure platform which is worrying. 'Apparently' I should have had notification to update my login password, but nothing received.

Who knows what's going on?

I've been using multiple seats of Kashflow for years now, and raving about it, but I think perhaps the time has come to move on.

It is certainly time for Iris to reach out to all its customers and state what the issues are, why whatever it is that has happened has happened and what they are doing about resolving it. Sitting around waiting is futile and in the meantime we are working with a faulty product.

Just don't

Like others here, I have been using Kashflow for many, many years and have recommended it many times. Until now. We've had so many issues in the past few months that I'm now looking at alternatives. Each issue is relatively minor, until last week when I'm now having problems sending out automated statements to my clients. Time to move on

DO NOT USE Kashflow

DO NOT USE. I have used KashFlow since 2010 without any issues until this year. Suddenly, I found my bank reconciliations deleted on one account. A month later deleted on another account. Now my VAT has been 'fiddled' with. I think they have ex-employees or employees who have master access messing around with my account. I am devastated, and it's been anxiety-inducing as I am a small business and rely on this software so heavily. Customer service is very bad and they do not take you seriously.

Poor customer service and very expensive.

I have asked them 10 times over 2 months to look at my pricing and each time I was promised a call back by teh renewals managers, Vicky or Samanthar. The renewals team do not know what they are doing. This is such a shame as I find the software really good to use.
Iris products are let down by poor, terrible, useless customer support. Even worse as they are the most expensive software providers.
