Sales admitted the mistake. Billing continued anyway.

I signed up for a Regus virtual office after confirming a critical detail in writing with the sales manager because it directly affected whether the address would work for my business. I specifically asked if the address required a PMB designation and was told it did not.

After signing I received the full details and discovered the address did in fact require a PMB, which made it unusable for my intended purpose. The sales manager later apologized in writing and admitted he did not know that requirement when he answered my question.

I cancelled the same day I received the correct information and before the service start date. I never completed the USPS Form 1583 and never activated any services.

Despite this, billing continued and the interaction shifted into contract enforcement and collections language rather than resolving a situation that started with incorrect information from their own sales process.

What concerned me most was not the mistake itself. Mistakes happen. It was the way the process handled it afterward. Even with written confirmation of the original representation and written admission of the mistake, the system appeared designed to enforce billing rather than resolve the root issue.

My recommendation is simple: verify every detail that matters to your use case independently before signing and get everything in writing. Based on this experience I would choose a different provider in the future.

The front associate

The front associate, Olivia, was attentive to our meeting needs. She left message with us prior to our booking to ensure smooth process and access. The location could be flooded during heavy rain although it was of no fault to Regus but to the owners of the area.

Regus has been horrible

Regus has been horrible, with their apps never working, double billing, renewing without consent.

Now we have a $500 bill with ZERO services used by them.

It's disappointing to read your comments as the City Manager responsible for your centre has been in direct contact with your wife and provided her with a resolution.
Firstly, I'd like to point out that both you and your wife signed agreements which created two separate accounts with their own invoices. We are not at fault for that and after establishing the mix-up on your side we cancelled one of the agreements.    
We take renewals very seriously and ensure that the process, which is very simple, is communicated to customers upfront.  
Prior to any renewal, our customers receive courtesy email reminders. These emails include detailed information on prices, terms and the option of ending the agreement if you no longer require our services.  Once such email was sent on 10 December to the email address we have on file, which you can review and amend at any time by logging in to your account online (i.e., myregus.com). We apologise if for any reason you didn’t receive these reminders. This could be due to your account details needing to be updated. Please log on to your online account and check that your phone number and email address are correct.  It is also worth checking that our emails are not landing in your spam folder.  Once your agreement with us has been renewed, we confirm it via email. You can check these emails in the My Account > Documents section of your online account. Our City Manager provided a solution to your wife which was happily accepted.
We work closely with our Web and App developers to provide customers with the best possible services/online tools to easily manage their account with us on the go and would be interested to know about the problem encountered.

Have legal look over your contract

I used the Regus virtual office at 1501 Main Street, Suite 501, Columbia, SC for my behavioral health practice. My experience with the service itself was unremarkable, but the renewal and billing practices are what I want other small business owners to know about.

In November 2025, I received an email described as a courtesy reminder informing me that my agreement would automatically renew for six months beginning in March 2026. I had 21 days to opt out. The renewed rate was $134.20 per month, a 36.6% increase over my original rate of $98.25. That price increase was embedded inside the renewal notice with no separate disclosure or request for consent.

I missed the opt-out window because, frankly, what small business owner is reviewing their March contracts in November? When I disputed the renewal, every substantive argument I raised was met with a restatement of Regus's contractual position rather than an actual response. I raised the inadequacy of the notice window, the undisclosed rate increase, and applicable consumer protection law. None of it was addressed on the merits. Seven distinct points, zero substantive replies.

Eventually, after I filed a complaint on another platform, Regus offered to shorten the renewal term, but conditioned that offer on my removing the negative review first. I will leave readers to draw their own conclusions about a company that ties contract relief to review suppression.

If you are a small business considering Regus for a virtual office, read every line of the auto-renewal terms and calendar the opt-out deadline immediately. Do not assume a courtesy email is just a courtesy. It may be the only notice standing between you and a six-month obligation at a significantly higher rate.

**UPDATE: They asked me to remove my review to be let out of my contract, which I refused. They did refund me and discontinue my contract. So this is resolved, but not easily, nor respectfully. The attendant at the Columbia location was no help and argumentative.

I want to return briefly to the original concern, because the refund addresses the outcome but not the issue I raised. The problem was never the contract language itself. It was the renewal mechanism. A 3-month notice window inside a 12-month agreement, communicated through a single courtesy email three weeks before the deadline, is a structure that depends on customers missing the window rather than actively choosing to continue. That is the practice I was naming, and it is worth Regus hearing it directly from a customer rather than having it folded into a service resolution.
I am glad we reached a workable outcome. I wanted the original point to stand on its own.

I want to address one line in your earlier message before closing this out. You wrote that my comments were inaccurate. They were not. I described the renewal structure accurately: a 3-month notice window inside a 12-month agreement, with auto-renewal as the default and a single email reminder three weeks before the deadline. Disagreeing with my characterization of the practice is fair. Calling my account inaccurate is not. I wanted that on the record.

All our agreements should be ended online according to their notice period; otherwise, they will auto-renew for another term. The responsibility to cancel within this period rests with the customer. For your agreement ending on 28 February 2026, the 3-month notice deadline was 30 November 2025. As it was not ended by this date, the agreement was automatically renewed.
We take renewals very seriously and ensure that the process, which is very simple, is communicated to customers upfront. Before any renewal, our customers receive courtesy email reminders. You received this email on 09 November 2025 with detailed information on prices, terms and the option of ending the agreement if you no longer require our services. This was sent to the email address we have on file, which you can review and amend at any time by logging in to your account online (myregus.com). A confirmation of renewal was also sent on 02 December 2025.
The renewal price increase is set according to the prevailing market rate as stated in your agreement.
This matter is now resolved positively.
